When offering a number of online assessments, it is often convenient to gather the scores for those assessment together. Test Pilot accommodates this by providing the ability to create virtual gradebooks. These gradebooks can be created for any user list and can not only include scores gathered from Test Pilot assessment but manual entries for offline activities.

Creating New Gradebooks

    To create a new gradebook, select a user list to be associated with the gradebook from the popup menu provided and click the New button.

Deleting a Gradebook

    To delete a gradebook, check the enable deletion checkbox, and click the appropriate Delete button. Note that any manually entered scores will be unrecoverably erased when the gradebook is deleted. Assessment scores will be unaffected as they reside with each assessment's submission data.

Viewing a Gradebook

    Once a gradebook is defined, you may view its contents at any time by clicking on the appropriate View/Entry Gradebook button. The Download button will cause the gradebook to be downloaded as a tab-delimited file for easy use by a spreadsheet program or import into a database or other electronic gradebook software.

    Manual score entries may be made on the view/enter report. Simply enter a score in the space provided, select a manual entry column and a user for whom the score is to be awarded. Note that as you enter scores, the user is automatically advanced for easy entry of multiple scores.

Defining Gradebook's Columns

    When you click upon the gradebook's title, you're taken to a dialog where you can define the columns in the gradebook and the order in which they should be presented. Following is a typical display:

Column List

    New entries are defined by filling in or selecting data in the last line of the entry list. The fields are as follows:

      order - the is a number representing the order in which entries will appear when the gradebook is generated. For example, if you wanted to next entry in the gradebook above to fall between the first two entries, enter a 15 in the new order box instead of the default 9999. Whenever you change an order entry, be sure to click the Reorder Entries button.

      type- this indicates whether Test Pilot should automatically extract a score from an assessment's submissions or allow you to manually enter the score for each.

      entry - in the case of a manual entry, this is the title for the column of those entries. In the case of a Test Pilot assessment score extraction, this is the name of that assessment.

      score - this indicates whether the assessment extraction should deliver a raw point score, a percentage score, or a simple count of total questions marked correct or partially correct (v4.3.2+).

      multiples - in the case of multiple submissions for a particular user, this instructs Test Pilot to extract the highest, the average or most recent submission score when generating the gradebook.

      v4.3.2+ - For automated assessment entries, you may also select to show all. In this case, four columns of information for each assesment entry is included on the report - the time of submission, the number of correct responses, the aggregate score for the assessment and the aggregate percentage score for the assessment. In cases where participants took the assessment more than once, a row in the gradebook for each participation is shown. The rows are balanced to assure alignment.

Adding Columns

    To add an assessment entry, choose an assessment title from the menu provided and click the associated Add button. Note that ONLY those assessments which use the participant list associated with this gradebook will be listed as candidates for addition. Be sure to make selections from the pop-up menus to determine what score is to be extracted and how multiple score are to be handled.

    To add a manual entry column, enter a name in the space provided and click the associated add button.

Deleting Column

To delete a column, check the enable deletion checkbox and click the appropriate Delete button. Note that in the case of manual score columns, deleting the entry will unrecoverably erase any stored scores.

Scheduled Generation of Gradebooks - v4.3.2 and above

You may select to have a gradebook generated automatically at selected times. In such a case, the gradebook is automatically e-mailed as a spreadsheet attachment to a selected address. A list of such scheduled generations is shown when editing a gradebook.

In the example above, there are four scheduled generations of this gradebook. In each case, the report will be e-mailed as a spreadsheet attachment to wmd@clearlearning.com. Gradebooks may be generated once at a particular time and date or on a repeating basis; either daily at a particular time, weekly on a particular day at a particular time or monthly on a particular day at a particular time.

To schedule a generation, simply enter a valid internet e-mail address in the space provided and make selections from the controls below to choose when you wish the gradebook generated. Click Schedule Email to schedule the generation. Multiple comma-separated e-mail addresses may be specified in the space provided.

To delete a scheduled generation, click on the Delete button associated with the entry in the list.
